The sales flow is the backbone of Odoo: a confirmed order drives the delivery, the invoice and the stock and accounting entries behind them.
1. Create the quotation
- Go to Sales > Orders > Quotations and click New.
- Pick the Customer. The price list, payment terms and addresses fill in from the contact.
- Add Order Lines: product, quantity, unit price. Discounts and taxes come from the product and the customer's fiscal position.
- Optional: an expiration date, a note for the customer, or an online signature/payment requirement.
2. Send it
Send by Email attaches the PDF and logs the email in the chatter. The customer can open the quotation online, sign it and pay if those options are on. Preview shows you what they will see.
3. Confirm
Click Confirm (or let the customer's signature do it). The quotation becomes a Sales Order and Odoo creates:
- a Delivery in Inventory for storable products,
- a task or project for service products set up that way,
- a purchase order if the product's route is make-to-order or drop-ship.
4. Deliver
The warehouse validates the delivery from Inventory. Delivered quantities appear on the order lines and the stock goes out. Nothing is posted in accounting yet unless your valuation is automated.
5. Invoice
Create Invoice on the order. Depending on the product's invoicing policy, Odoo invoices ordered quantities (right after confirmation) or delivered quantities (only what has shipped). Confirm the invoice to post it; register the payment when the money arrives.
Common questions
The Create Invoice button is grey. Nothing to invoice yet: the policy is "delivered quantities" and the delivery is not validated.
The customer wants to change quantities after confirmation. Edit the order line; Odoo updates the pending delivery. If the delivery is already done, add a line or make a return.
I need a different price for this customer. Use a price list or a discount on the line. Don't edit the product's price - that changes it for everyone.
